Headers and Footers can display things like the page number, date, or company name in the top and bottom margins of your document. Not only do they make those things easier to reference – they also add a nice professional touch.
To insert a header, footer, or just page numbering, start by going to the Insert tab, and then the Header & Footer section. Let’s start with how Headers work.
We opened a blank Publisher document. To insert a Header, select the Header button from the Header & Footer section of the Insert tab. You will notice in the image below that a Header has been inserted into the top of our document as a separate section from the main document. While our Header is selected, the Drawing Tools – Format tab and Text Box Tools – Format tab will display in the ribbon. These tabs can be used for additional formatting.
In the image below, we have the Drawing Tools – Format tab selected. Now would be a good time to review the different options in this tab; Insert Shapes, Shape Styles, Shadow Effects, 3-D Effects, Arrange, and Size. If you don’t like an effect you added to your header, just select the Undo button above the ribbon on the left hand side.
In the next image, we have the Text Box Tools – Format tab selected. In this tab, you can format your Text, Font, and Alignment. You will also find functions for Linking, Effects, and Typography. Try some of the functions to see how it will impact your Header and select the Undo button if it is not needed.
Next, let’s take a look at Footers. They are similar to Headers and serve the same purpose; however, they are located at the bottom of your document. To insert a Footer, select the Footer button from the Header & Footer section of the Insert tab.
As you can see in the image below, a Footer has been added to our publication. With Headers and Footers, there is also a Master Page tab that is added to the ribbon. One of the sections in the Master Page tab is Header & Footer. The first button in this section, Show Header/Footer, allows you to switch back and forth between your header and footer, assuming you have both in your document.
To insert a page number, select the Insert Page Number button in the Header & Footer section of the Master Page tab. As more pages are added or removed from the publication, the page number will update. The page number will be inserted at the position where the insertion point is located. To insert the date into the Header or Footer, select the Insert Date button. Finally, the Insert Time button will insert the time into the Header or Footer when selected.
Once all of the information has been added to the Header and/or Footer, do one of the following to return to the body of the publication:
· Double-click in the body of the publication.
· Click the Close Master Page button on the Master Page tab.
You can also add page numbers to your publication by selecting the Page Number button from the Header & Footer section of Insert tab. A drop down menu will open that will give you various options to place the page number.
If you want a page number on the first page, be sure there is a check mark by this option in the drop down menu.
